As we continue to expand, we are seeking a dedicated Executive Assistant to support the Managing Director in driving the Company’s vision forward. Role Overview This role is ideal for someone who aspires to grow into a leadership or management position. The Executive Assistant will provide high-level administrative and organizational support to the Managing Director, ensuring the smooth operation of daily activities and strategic initiatives. The ideal candidate is highly organized, proactive, and thrives in a fast-paced, dynamic environment. They will act as a trusted gatekeeper, liaison, and project manager, facilitating efficient communication and execution of the Managing Director’s priorities. Key Responsibilities: Project Management: Assist in planning and executing strategic projects, ensuring milestones and deadlines are met. Provide research and data analysis to support decision-making processes. Track progress of key initiatives and prepare reports for the Managing Director. Coordinate cross-departmental communications and ensure timely completion of tasks and projects. Administrative Support: Prepare agendas, minutes, and follow-ups for meetings Handle correspondence, emails, and phone calls on behalf of the Managing Director. Manage the Managing Director’s calendar, including scheduling meetings, appointments, and travel arrangements. Manage confidential information and maintain the utmost discretion. Stakeholder Engagement: Act as the primary point of contact between the Managing Director and internal/external stakeholders. Build and maintain relationships with key partners, clients, and team members. Organize events, meetings and presentations as required. General Support: Assist with ad hoc tasks and special assignments as required by the Managing Director. Anticipate needs and proactively address them to enhance efficiency and productivity. Qualifications and Skills: Leadership Potential: A strong desire to grow into a leadership or management role. Experience: Previous experience in a similar role is desirable but not essential. Education: Bachelor’s degree or equivalent professional experience. Technical Skills: Proficiency in Microsoft Office Suite, project management tools, and communication platforms (e.g. Slack, MS Teams). Organisational Skills: Exceptional ability to prioritize tasks, manage time effectively, and multitask. Communication Skills: Excellent verbal and written communication skills. Interpersonal Skills: Strong emotional intelligence, professionalism, and the ability to build rapport with a diverse range of people. Problem-Solving: Resourceful and proactive in resolving issues, with a solution-oriented mindset. Discretion: Proven ability to handle sensitive and confidential information with integrity. Attention to Detail: Meticulous approach to work, ensuring accuracy and consistency. Location / License: You will need a driving license, access to a vehicle and live within a 40-50min of the office facility. Working Conditions 42.5 hours per week, core operating hours are 8-6pm so shifts will be set generally within these hours however there will need to be some flexibility for occasional evening events.
