ROLE OVERVIEW // We are recruiting for an Early Careers Recruitment (“ECR”) Administrator to join the ECR Team. The ECR Team is part of the HR Department and the wider Business Services function based at the firm’s head office in London. Its purpose is to work alongside the ECR partners to attract and recruit those wishing to qualify as a solicitor, who will ensure the continuing success of the firm. The team consists of the Head of Recruitment, Marketing Manager, Operations Manager, two Advisers, an Executive, two Assistants, and an Administrator. The successful candidate will report into the Operations Manager. KEY RESPONSIBILITIES // The key responsibilities of this role are set out below and will be shared between the two Administrators. There may be other responsibilities which are not listed. You may be required on occasion to work outside our normal working hours of 9:30am to 5:30pm. Applications Individually checking and processing training contract, work experience, and solicitor apprenticeship applications (approximately 8,000 applications per year) through the online application system. Maintaining the online application system in an accurate and timely manner, including updating candidates’ applications, communicating application outcomes, and managing the online interview scheduling tool. Managing the two shared ECR mailboxes and responding to ECR queries by email and telephone. Keeping application tracker spreadsheets up to date. Interviews Responsibility for the coordination of training contract, work experience, and solicitor apprenticeship interviews (approximately 800 interviews per year), including: Liaising with EAs across the firm to identify partners and associates to conduct interviews. Keeping the interviews spreadsheet up to date and ensuring that the interview process runs smoothly. Arranging trainee solicitors and ECR representatives to meet with candidates as part of the interview process. Liaising with the room bookings team to arrange meeting rooms. Creating calendar invites for each stage of the interview process. Meeting candidates virtually or in person and setting up their written exercises. Obtaining interview notes from interviewers. Marketing campaign and recruitment events Assisting with the administration of the annual ECR marketing campaign, including arranging the promotion and email comms for the autumn and spring virtual event series, organising the logistics for all recruitment events with external student and media organisations, and assisting with the administration of university society sponsorships. Responsibility for the administration of the university prizes process, including liaising with the universities and arranging meetings with the prize-winners. Arranging representatives to attend recruitment events. Assisting with the administration and organisation of work experience opportunities. Keeping the mailing list spreadsheet up to date with all student lists. Processing invoices and student travelling expenses. Future trainees Individually checking future trainees’ certificates and transcripts. Preparing individual HR files for future trainees. Miscellaneous Assisting with other tasks and projects to support the team as required. CANDIDATE PROFILE // Candidates for this position must have: Ideally degree calibre or equivalent previous experience in a professional services environment. Minimum of grade 5 or 6 in GCSE English (or equivalent). Excellent organisational skills, with the ability to multi-task, keep calm under pressure, and work to tight deadlines. Excellent interpersonal and verbal communication skills. Excellent written communication skills and attention to detail. Enthusiastic individual prepared to take a hands-on approach to managing their workload using their own initiative. Comfortable accepting instructions and guidance from different angles. Ability to work as part of a team and build strong business relationships, both internally and externally and at all levels; approachable and able to build rapport quickly. High level of professionalism and integrity; displays the highest standard of professional ethics. A good working knowledge of Microsoft Office packages, particularly Word and Excel.
