Job Description Job Description Seeking an individual who has accounting experience, can work on their own initiative to balance financial records, company purchases, accounts payable, and general office administration. Who will provide financial, administrative, and clerical services by ensuring payments are completed and expenses are controlled by receiving payments, processing, verifying and reconciling invoices according to established policies and procedures in an efficient, timely and accurate manner. Essential Duties and Responsibilities: Assist with the distribution of customer statements. Collect and process payment from customers and vendors, and accurately record it into the system Maintain and organize all customer records Manage a weekly collection process: calls and emails Monitor and address customer inquiries via a dedicated billing email address. Pays vendors by monitoring discount opportunities; scheduling payments; resolving purchase order, contract, invoice, or payment discrepancies and documentation; insuring credit is received for outstanding memos Proactively pursue outstanding invoices on assigned accounts. Process all customer and vendor invoices and credit memos Protect organization's value by keeping information confidential Research, track and resolve any issues Review and enter new customer and vendor information Set up and maintain customer billing profiles. Reports to the Director of Operations Educational Qualifications and Skills: 1-3 years accounts payables experience (REQUIRED). 1-3 years of manufacturing experience is a PLUS. A positive team player and energetic professional. Ability to analyze/solve problems and work in a fast-paced environment. Ability to work with a variety of people, both internal and external. Demonstrates a sense of urgency and ability to meet deadlines. Discretion in matters that need to remain private. Excellent time management skills along with the ability to manage multiple tasks independently. General math skills, data entry skills, analytical, problem solving and decision-making skills. High School Diploma or GED; Associate degree or equivalent from a two-year college or technical school preferred. Knowledge of general accounting principles, regulatory standards and compliance requirements. Strong communication skills with ability to communicate appropriately given the circumstances of the situation and audience involved. Strong organizational habits with attention to detail and accuracy. Technology proficient with Epicor software, Microsoft Office, Internet, and Email. Work Environment: Position operates in a professional office environment. This role routinely uses standard office and audiovisual equipment. Physical Demands: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of the job: • Spend long hours sitting and using office equipment and computers. • Easily transition from sitting to standing positions. • Consistently focus on evaluating and entering financial data into a computer. • Regularly work on projects with deadlines. • Frequently bend to file and maintain documents. Travel: Travel is generally not expected for this position but may be occasional to remote sites and/or training events or conferences, as needed. Condition of Employment: Must successfully pass the initial and updated criminal history, background, and record checks, which includes driving history checks.
