Job Description

Requirements: It is not expected that the successful candidate will necessarily have experience / competency in all the areas highlighted below. Relevant Bachelors Degree (or equivalent) or relevant vocational training. 2 plus years work experience, working in a high-pressure environment. Experience of working with large database/CRM systems. Ability to work in line with POPI and with an understanding of donor and patient confidentiality. Willingness to travel on occasions for training and workshops, both nationally and internationally. Own transport and valid driver's license. Duties: Screen and categorize incoming e-mails from South African Transplant Centers and Registry Search Coordinators. Enter new search requests into the Hap-E Search software if the Transplant Center is not enabled. Relay information about ongoing searches to the relevant registry coordinators. Support transplant center coordinators with special requests or missing information. Obtain and document invoicing information where applicable. Provide pro forma invoices to obtain medical aid authorization. Ensure medical aid authorization is obtained before donor workup or activation requests. Facilitate workup communication between the international registry and relevant parties, ensuring updates throughout the process. Request and obtain import/export permits and customs clearance as required. Organize courier services if not provided by the international registry. Assist with cryopreservation requests and ensure adequate handling of unused products. Follow up after transplantation to assess customer satisfaction. Collect and report information related to serious adverse events if necessary. Support new users with registration and provide training on the registry software. Assist with donor center activities, including arranging free family typing and resolving any complaints. Assist in creating and maintaining departmental procedures, ensuring compliance with all relevant regulations. Engage in quality assurance, service improvement projects, and regular supervision with the Head of Medical. Stay informed of developments in stem cell donation and comply with health, safety, confidentiality, and data protection policies.
