We are looking for a professional and customer service-oriented Receptionist to join our team in London. This role is key to ensuring a welcoming and efficient front-of-house experience for all visitors and employees. The successful candidate will manage the reception and conference suite, providing administrative support and delivering an exceptional level of service.
Key Responsibilities:
- Manage the reception and conference suite, maintaining a high standard of customer service.
- Operate the switchboard, handling calls confidently and professionally.
- Act as the first point of contact, greeting delegations, clients, and guests.
- Coordinate and book meeting rooms using Microsoft Outlook, ensuring rooms are set up with necessary equipment, refreshments, and cleaned up afterward.
- Provide concierge services including arranging beverages, lunches, and other hospitality needs for delegates and visitors.
- Assist with administrative tasks such as photocopying, printing, travel bookings, and visa applications.
- Manage incoming publications, business subscriptions, and coordinate delegation activities including accommodation and invitation letters.
- Handle internal staff hospitality requirements, such as breakfast supplies and expat lunches.
- Oversee incoming and outgoing post, special deliveries, courier services, and manage bookings for taxis, stationery supplies, and business cards.
- Additional administrative support duties as required, including processing invoices and liaising with suppliers.
- Serve as Fire Warden and First Aider, maintaining first aid materials and managing mobile phone activity as directed.
Qualifications and Skills:
- Educated to college level or A-level equivalent.
- Previous experience in a corporate reception role.
- Proficiency in Microsoft Outlook, Word, and Excel.
- Excellent communication skills with a customer service-focused approach.
- Fluency in English and a flexible attitude to support the business as needed.
Compensation and Benefits:
- Salary: Competitive, based on experience.
- Pension: Employer contribution of 6% of basic salary (minimum employee contribution of 3%).
- Bonus: Discretionary, based on individual and company performance.
- London Travel Allowance: £6,000 per annum (non-pensionable).
- Private Medical: Employer-paid single cover.
- Travel Insurance: Business and leisure cover, employer-paid single cover.
- Holiday: 25 days per annum.
- Life Assurance: 4 x basic salary.
- Probationary Period: 3 months.
- Notice Period after Probation: 1 month.
