Job DescriptionJob DescriptionWe are offering a contract to hire employment opportunity for an Administrative Assistant in Dallas, Texas. This role is primarily in the energy industry, where the selected candidate will be responsible for both office management and providing executive assistance, as well as supporting accounting tasks.

Responsibilities:
• Oversee the management of executive calendars, including scheduling meetings and planning travel arrangements
• Handle mail, including processing incoming mail and dispatching outgoing mail and packages
• Conduct purchasing for office supplies and coordinate with building management as required
• Organize company events such as quarterly meetings, annual charity volunteer events, and holiday parties
• Prepare business letters outgoing to other energy companies and investors
• Assist in maintaining investor communications portal
• Prepare regulatory and state tax filings with TX state agencies
• Execute remote deposit of checks and recording check deposits
• Prepare invoices to customers and assist the CFO and Accounting team with financial reports
• Record oil and gas revenue and other routine revenue entries
• Manage and keep track of technology/software costs and renewals
• Assist in tracking company ESG metrics and goals.• Proficiency in Microsoft Office Suite including Microsoft Excel, Microsoft Outlook, Microsoft PowerPoint, Microsoft Word, and general Microsoft applications.
• Ability to handle both inbound and outbound calls effectively.
• Exceptional customer service skills with a focus on providing a positive experience for all clients.
• Experience with data entry tasks, ensuring accuracy and attention to detail.
• Familiarity with email correspondence, maintaining professionalism and timely responses.
• Ability to schedule appointments and manage calendars efficiently.
• Experience with Mail Merge operations for streamlined communication processes.
• Knowledge of preparing professional letters and other correspondence.
• Familiarity with making travel arrangements and completing expense reports.
• Experience with remote deposit operations.
• Ability to manage expenses and prepare expense reports.
• Proficiency in calendar management to ensure smooth operations.
• Familiarity with creating and managing Microsoft Excel spreadsheets.
• Strong organizational skills to manage multiple tasks and priorities efficiently.
• Excellent written and verbal communication skills.
• Demonstrated ability to work independently and as part of a team.
• High level of discretion and confidentiality for handling sensitive information.
• Proven ability to adapt to new technologies and learn new software tools.
• High school diploma or equivalent educational qualification required.
• Previous experience in an administrative assistant role or similar is beneficial.
