Job Description
Key ResponsibilitiesSupport the development, implementation, and monitoring of user-friendly fleet policies and procedures, ensuring the organisation remains legally compliant with all relevant legislation.Monitor monthly spend and budget reports associated with vehicle leasing, vehicle service and maintenance, fuel cards, hire vehicles, driver training and licence and compliance checking.Maintain accurate data associated with vehicle replacements and predicted future new orders, working closely with key stakeholders within Operations and HR. Work alongside the nominated fleet leasing/management provider, ensuring service and quality standards are regularly assessed.Support the negotiation of pricing, contracts and service agreements with suppliers and vehicle manufacturers, ensuring the organisation achieves value for money wherever possible.Administer the allocated vehicle application and approval process, working closely with the line manager, HR, and Payroll.Support regular and effective engagement and communications with vehicle drivers and other key stakeholders including Staff Reps, Senior Leaders, and Executive Directors. Monitor colleague and volunteer driver compliance, ensuring those driving on behalf of the organisation are complying with policies, checks and guidance.Oversee the procurement and selection of competent and cost-effective suppliers associated with vehicle caging, driver training and fuel cards.Monitor and oversee appropriate driver training solutions that ensures the organisation is effectively managing its occupational road risk.Coordinate the disposal of owned vehicles, in-line with the approved disposal process.
EssentialGCSE’s in English and Maths, at grade C or equivalent qualification (QCF Level 2 / SQCF Level 5).
DesirableFleet management qualificationJob-Related ExperienceEssentialA background in fleet management, with experience in managing a 400+ vehicle fleet.Experience in managing an external fleet support/management leasing provider, with a strong focus on SLAs and performance.Involvement in the management of fleet budgets and spend of £2m+Supporting the management of suppliers providing services such as vehicle conversions, signage, telematics, and occupation road risk services.DesirableAbility to research and intrepret the legal framework associated with the management of a vehicle fleet (driver safety, HMRC etc.)Experience in working with stakeholders to identify requirements for procuring business need equipment Strong report and presentation writing/drafting skillsStrong face to face communication and engagement skillsKnowledgeEssentialGood PC Knowledge – MS office packagesAbility to use Excel formulasAbility to work with specialists within a fleet industryDesirableKnowledge of electric vehicles and associated infrastructureSkills and CompetenciesEssentialIn-depth understanding of fleet management procedures and departmental policiesStrong communicating and engaging skills, with the ability and desire to work closely with drivers and other key stakeholders to understand requirements and deliver user-friendly solutions.Strong analytical skillsAbility to work alone and as part of a wider management team. A strong team player approach.Attention to detail, good organisational and interpersonal skills.Ability to embrace change and actively look for opportunities to enhance and improve work processes.Excellent customer service skills with a high level of urgency, creativity and versatility required.DesirableManagement experience within the third sector
