Position: IT Admin Support

Location: ONSITE, Birmingham, Absley House (B2 5TJ)

Employment Type: Part-time, 20 hrs

Reporting to: IT Department



Purpose of the Role:

To provide comprehensive administrative support to both staff and students, ensuring the effective management and integrity of student information within the student management system.



Key Responsibilities:


Student Information Management:

• Accurately input, update, and maintain student records within the student management system.

• Ensure the confidentiality and security of all student information.

• Generate reports and extracts as required for academic and administrative purposes.

• Coordinate with academic departments to ensure timely and accurate data entry and reporting.

• Handle requests for student transcripts, certificates, and other documentation.


Training and Support:

• Train and guide other departments on the effective use of the student management system.

• Provide ongoing support to staff members, addressing any queries or issues related to the system.

• Develop and update training materials and documentation to facilitate system usage.


Device Management and Replacement:

• Coordinate with the IT department to address any hardware issues or requirements, such as replacing monitors, mice, keyboards, etc.

• Assist in the inventory management of IT equipment and ensure timely replacements as needed.


General Administrative Duties:

• Respond to enquiries from staff, students, and external stakeholders regarding student records and information.

• Coordinate with other departments to ensure seamless service delivery related to student administration.

• Assist in the planning and execution of student-related events and functions, such as enrolment, graduation, and orientation.

• Maintain an organized filing system for student documentation and correspondence.


Continuous Improvement:

• Stay updated with the latest trends in educational administration and student management systems.

• Recommend and implement improvements to existing administrative processes related to student management.

• Participate in training and professional development opportunities to enhance student administrative functions.



Qualifications and Experience:

• A minimum of a diploma or equivalent in IT or Business Administration, or a related field.

• Previous experience in an administrative role with a focus on student management, preferably within an educational institution.

• Proficient in using student management systems and standard office software.

• Strong organizational skills and the ability to work under pressure.
