Job Description:

Full-time Coordinator for the Dept. of Accounting in the E. J. Ourso College of Business. This position oversees the daily business and administrative operations of the Accounting Department, manages the front office operations, supervises student workers, serves as the department HR contact, and provides support to the Department Chair.

Job Responsibilities:

20%-General Support and Customer Service - Manages the daily business operations and administrative services of the department including, but not limited to, procurement, property management, and facilities requests. Manages the department's front office, including handling mail, phones, emails, and assisting office visitors. Supports Department Chair and faculty with ad hoc projects or duties as assigned. Handles confidential data and information with discretion to protect confidentiality.

20% - Budget, Accounting, and Payables - Serves as the Department's Cost Center Manager and liaison with the LSU Foundation. Maintains departmental accounts and budgets, such as accounts payable, assisting with various expenses such as employee reimbursements, monitoring scholarship accounts and professorship accounts, managing the thank you notes process for donations, and a variety of other tasks related to departmental spending. Maintains department's supply of inventories, determining needs, ordering, and providing control of supplies.

20% - Human Resource Support - Serves as the department's Human Resources contact and Student Employment Partner. Prepares and processes forms through Workday for all student employees of the Accounting Department and Center for Internal Audit. Assists the College's HR Analyst with the hiring and HR-related paperwork and processes for faculty. Distributes information relating to HR changes, policies, and deadlines to department employees and ensures department compliance. Reviews and approves payroll for student employees in Workday.

20% - Student Employment Partner - Supervises 8-10 student workers. Responsible for pay adjustments, interviewing, hiring, and training student employees. Creates work schedules and assists with front office duties when needed, including retrieving and sorting mail, answering phones and emails, and helping students and others who stop by the office.

15% -Events and Scheduling - Organizes special events and activities for the department, such as conferences, banquets, faculty meetings, and visiting speaker activities. Coordinates schedules and space by booking room reservations through BEC Reservation System, preparing space for events, and organizing responsibilities of others within the department when needed. Coordinates commencement for the department.

5% - Grant Management and Accounting. Works in conjunction with SPA and individual PIs to handle/reconcile the accounting functions for each assigned grant for the Department of Accounting. Maintains and balances monthly ledgers for each grant. Responsible for a working knowledge of rules and regulations governing accounting, purchasing, and keeping the faculty informed in a timely manner of procedural changes.

Minimum Qualifications:

Education Level: Bachelor's

Preferred Qualifications:

Education Level: Master's in Accounting or Business related field

Years of Experience: 2-4 years of experience

Specific Experience: Experience working in an administrative role at Louisiana State University or a similar higher education or state government setting. Experience in Workday preferred. Preference for a person with accounting and/or finance experience
